About the position
A well-known organisation specialising in providing sustainable socio-economic solutions for youth in South Africa requires the above to provide executive support and assistance to the Group Chief Executive Officer.
Minimum requirements for the role:
- Minimum matric is essential for this role.
- A Project Management Diploma or an undergraduate qualification in commerce or journalism or related qualification is preferred.
- Previous experience having worked as an executive assistant or within a related role providing high level support to senior executives is essential.
- Previous experience in business strategy and development is preferred.
- Computer literacy with knowledge of Microsoft office is essential.
- Must have excellent organisational, interpersonal, oral and written communication skills as well as good presentation skills.
- Must have the ability to maintain an exceptional attention to detail.
- Must have the ability to function effectively in a fast-paced, complex environment. Must be able to exercise thoughtful and independent judgement and discretion while maintaining direct and diplomatic approach.
- Proven commitment in maintaining the highest ethical and professional standards.
The successful candidate will be responsible for:
- Providing executive support and assistance to the group chief executive officer.
- Ensuring follow up from the office of the Group CEO as well as other parties involved in meetings and projects.
- Ensuring project support is timely, accurate and responsive to the needs of the team.
- Participating in projects is in accordance with designated project management protocols.
- Maintaining the overall work plan and project plans as well as tracking key tasks, critical path and budgets.
- Documenting the outcomes of projects.
- Preparing regular reports against project progress in agreed format and content.
- Preparing the group CEO for meetings and speaking engagements with a variety of audiences.
- Conducting reports and other working documents that provide guidance on complex projects and program issues.
- Coordinating projects based work across the divisions/ departments under the group CEO‘s direction.
- Supporting the group CEO on the day to day activities and various other projects.
- Writing of briefing notes and other written materials for the group CEO as well as assisting in the coordination and response to the group CEO’s day to day correspondence.
- Ensuring the senior manager is informed of all activities and appointments at all times.
- Planning and managing the group CEO’s emails and diary schedule.
- Managing relationships within the secretarial cadres and relevant levels with other government departments and agencies.
- Acting as the CEO’s administrative liaison.
- Assisting board members with travel arrangements and accommodation as needed.
- Reviewing documents to be submitted to the group CEO for signature and making necessary recommendations on any amendments to be made to the relevant person.
- Advising the senior managers on timely and correct submissions of documents.
- Conducting desktop research on issues that the group CEO requires.
- Writing memos as and when necessary.
Salary package, including benefits, is highly negotiable depending on experience gained.
